Cancellation and Refund Policy

 

At VLV Trade & Services, we aim for a transparent and hassle-free experience. This policy covers order cancellations and the conditions for returns and refunds.

 

1. Order Cancellation Policy

A. Pre-Shipment Cancellation (Customer Requested)

Customers can request to cancel an order before it has been processed for shipment (i.e., before you receive a Shipping Confirmation email).

  • Time Window: You must request cancellation within 6 hours of placing the order.

  • Refund for Cancellation: If the cancellation is approved and the order has not been shipped, a full refund will be processed back to your original payment method. The refund processing time is detailed in Section 3.

 

B. Post-Shipment Cancellation (Refusal of Delivery)

Once an order has been shipped and you have received a Shipping Confirmation email, it cannot be canceled.

  • If you refuse the delivery of the order, it will be treated as a Return.
  • In this case, the refund issued will be for the cost of the goods only, minus the actual shipping charges (both to you and the return shipping cost incurred by us).

 

C. Cancellation by VLV Trade & Services

We reserve the right to cancel an order in circumstances such as:

  • The product is out of stock or permanently unavailable.
  • Inaccuracies in payment, address details, or fraudulent activity.
  • Pricing or product information errors.

If we cancel your order, you will be notified immediately, and a full refund will be issued to your original payment method.

 

2. Return and Refund Policy (Post-Delivery)

 Our policy allows for returns and refunds under specific conditions, as detailed below.

 

A. Eligibility for Return (30 Days)

You have 30 days from the date of delivery to initiate a return request.

To be eligible for a refund, the item must be returned in the following condition:

  • Unused, unwashed, and undamaged.
  • In its original packaging with all tags, labels, and accessories intact.
  • Accompanied by the original invoice/proof of purchase.

 

B. Returns Due to Damage or Incorrect Item

If the product you receive is damaged, defective, or incorrect (wrong size, color, or item), we will:

  • Arrange a free pick-up of the incorrect/damaged item.
  • Send you a correct replacement, OR
  • Process a full refund, including original shipping costs.

You must notify us of any damaged or incorrect items within 48 hours of delivery.

 

C. Exceptions (Non-Returnable Items)

The following items are exempt and cannot be returned or refunded:

  • Final Sale or Clearance items.
  • Products marked as Non-Returnable on the product page.
  • Perishable goods (e.g., food, flowers).
  • Personalized or custom-made products.
  • Items where the sanitary seal or packaging has been opened (e.g., personal care, innerwear, certain beauty products).

 

3. Refund Processing

A. Method of Refund

All refunds will be credited back to the original payment method used at the time of purchase.

 

B. Timeline

  • Receipt & Inspection: Once the returned item is received by our facility, please allow 2-3 business days for inspection and approval of the refund.
  • Processing: If approved, the refund will be initiated immediately. It typically takes 7-10 business days for the credit to appear in your account, depending on your bank or payment processor’s policies.

 

C. Partial Refunds

Partial refunds may be granted for:

  • Any item not in its original condition, damaged, or missing parts for reasons not due to our error.
  • Orders returned after the 30-day window.
  • Post-shipment cancellations (where original shipping costs will be deducted).
